Administrative Assistant

As we continue to grow and expand, we are looking for an Administrative Assistant to help the Executive Director and Board with our increasing administrative needs in our busy environment.


You'll work directly with the District Executive Director and Board of Commissioner in various administrative and recreational tasks including planning, organizing, and marketing, meetings, and special events. The right person will be a self-starter who RELISHES learning new technologies, programs, and processes to help us market programs, strategies, and our vision.

This is a part time position. Initially, hours are Monday-Friday 10:00AM-2:00PM; additional hours may be added in the future. On the fourth Thursday of each month the hours are 2:00-9:00PM and flexibility for additional evening meetings (infrequent) as needed by the Board of Commissioners.


Duties and responsibilities include:

• Follow established policies and procedures as outlined in the Employee Handbook.

• Attend Board of Commissioners' meetings and take minutes of those. 

• Coordinate with Executive Director for all external communications (to include, but not limited to, program/event announcements and job openings, etc). 

• Coordinate with Executive Director and/or Chairman of the Board of Commissioners for Board of Commissioners' communications/administrative issues. This includes, but is not limited to Board meeting announcements, Board meeting materials to the Board in sufficient advance of meetings, publishing written Board meeting minutes, loading of the recorded Board meetings to appropriate media. 

• Answer and direct phone calls. 

• Organize and schedule meetings and appointments.

• Maintain contact lists.

• Produce and distribute correspondence memos, letters, faxes, and forms.

• Assist in the preparation of regularly scheduled reports. 

• Develop and maintain a filing system .• Order office supplies. 

• Book travel arrangements, conference calls, rooms, taxis, couriers, hotels, etc.

• Submit and reconcile expense reports. 

• Provide information by answering questions and requests.

• Take dictation.

• Research and creates presentations.

• Generate reports. 

• Handle multiple projects.

• Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. 

• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. 

• Contribute to team effort by accomplishing related results as needed.

• Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

• Organize training and travel arrangements for the Executive Director. 

• Write letters and emails on behalf of the District Commissioner and Executive Director. 

• Maintain computer and manual filing systems. 

• Handle sensitive information in a confidential manner. 

• Take accurate minutes of meetings.

• Coordinate office procedures. 

• Reply to email, telephone, or face to face inquiries. 

• Develop and update administrative systems to make them more efficient. 

• Resolve administrative problems. 

• Answer telephone calls and pass them on. 

• Manage Executive Director appointments.

• Work with Business Manager to coordinate repairs to office equipment. • Plan and implement Board of Commissioners' and District Executive Director special events with little oversight. 

• Manage, create, and upload marketing, meeting, and vacancy materials using programs like Canva website material and social media posting. 


  

Salary range as of January 1, 2025:

$17.00-22.38 per hour depending on years of experience and qualifications.

Paid Swim Lesson Instructor Training

Paid Lifeguard Training

GET PAID TO BECOME A LIFEGUARD! 

Do you love the water? Do you enjoy working with people? Do you want to work somewhere you can get real job experience and make a difference? We are offering paid training and an American Red Cross Lifeguard certification. Applicants will need to pass the American Red Cross Lifeguard Swim test as part of the interview process. 


We are also looking for currently American Red Cross Certified Lifeguards for early morning and day time shifts!

Client Service Specialist

  

The Client Service Specialist is responsible for addressing the varied needs of our patrons and provides essential support to staff members. In the role of Client Service Specialist, you will be expected to develop and maintain a thorough understanding of all District programs, rules, policies, etc.

Duties include: greeting and checking in patrons, processing payments, enrolling patrons in various programs, providing accurate up-to-date information regarding programs - including schedule and fees, report preparation including bank deposits, maintaining numerous activity logs, answering and directing calls on the multi-line phone system, taking detailed messages, selling concession items, light cleaning tasks, other duties as assigned.

The ideal candidate will have the following:

  • Must be people-oriented

  • Friendly, helpful attitude that helps ensure an inviting environment for customers and staff alike
  • Excellent listening, verbal, and written communication skills
  • Previous cashing handling experience- experience counting money and making change

  • As a Client Service Specialist, you will often be the first person a visitor to our facility sees and interacts with; as such, it is imperative that your appearance be neat and clean.
  • We are currently seeking an individual with flexible availability; some early mornings and weekends are required.  Part time.

Senior Lifeguard

The Senior Lifeguard supervises lifeguards on regular recreational swims and events. This position is responsible for overseeing lifeguard staff and patron safety when the Head Lifeguard or Recreation Manager is absent; they can close the facility and assume facility management responsibilities when no management is present. This position will work varied hours, including nights and weekends, as required. 


The ideal candidate will:

  • Have experience working with patrons.
  • Pay attention to details. 
  • Have the ability to work as a member of a team.
  • Have effective interpersonal and group communication techniques.
  • Have the ability to gain compliance with policies and procedures.
  • Have the ability to implement environment that are diverse, equitable, and inclusive.

The successful candidate will meet the following criteria:

  • Must be 18 years of age or older.
  • Minimum 2 years experience as a lifeguard.
  • Current American Red Cross Lifeguard Training, Emergency Oxygen Administration, and Blood Borne Pathogens Training.
  • Ability to sit/stand/walk for 2-6 hour time blocks.
  • Must lift 25-50 pounds, with or without assistance.
  • Ability to set up and break down pool equipment, with or without accommodations.
  • Access to reliable transportation.
  • Ability to pass background check.

Salary range as of January 1, 2025 is $18.00-22.00 per hour depending on years of experience and qualifications.

Recreation Aide

Do you love sports? Do you want to work with families? Become a Recreation Aide.   

Recreation Aides assists the Recreation Manager or other District staff in providing supervised recreation activities such as sports, games, arts and crafts, educational sessions, special events, and field trip experiences for various age groups. 

Uses creativity to suggest activities, sports, crafts, and special activities in collaboration with the Recreation Manager.

 Operates programs according to District and other appropriate guidelines. 

Assists in maintaining related records and reports. 

Assist in the distribution of marketing materials to the public. 

·Sets up and cleans recreation facilities as required. 

·Inventories and inspects equipment and supplies. 

 Reports safety hazards and/or injuries immediately according to procedures.


Must be 15 years old.

 

Salary range as of January 1, 2025

 $16.66-19.00 per hour depending on years of experience and qualifications.

Maintenance/Custodial Assistant

Under the direction of the Maintenance and Facilities Manager, this position assists in maintaining North Whidbey Pool, Park, and Recreation District facilities and parks.


The ideal candidate will:

•Have experience working in park and facility maintenance.

•Be able to work weekends and evenings.

•Have the ability to work as a member of a team.

•Have effective interpersonal and group communication techniques.

•Have the ability to gain compliance with policies and procedures.

•Have a passion for developing environments that celebrate diversity, equity, and inclusion.

•Have a valid driver’s license, and preferably be able to drive a truck with a trailer and back-up trailers.

•Have the ability to use park tools like chainsaws, weed eaters, and various power tools, such as drills and table saws.

•Have the ability to read and understand maintenance manuals.


Primary Duties and Responsibilities

•Follows and enforces District, state, federal, and county-established policies, and procedures pertaining to District operations, as outlined in the Employee Handbook and Emergency Action Plan.

•As a CPO Maintenance Assistant team member at District, you will play a crucial role in ensuring the safety and functionality of our aquatic facilities.

•Cleans and sanitizes all areas of District property. Performs custodial duties as needed. 

•Assists the Maintenance and Facilities Manager in the maintenance and repair of District equipment.

•Performs groundskeeping and/or landscaping duties on District property.

•Keep an accurate inventory of maintenance supplies and report needed supplies to the Maintenance and Facilities Manager.

•Inspect parking lots and grounds for cleanliness and clean as needed.

•Inspect all areas of District property to ensure accessibility for patrons and staff; perform needed maintenance and/or notify supervisor of needed work.

•Your responsibilities will encompass regular maintenance/custodial, equipment inspection, water quality management, and compliance with safety standards.

•Maintain and repair aquatic facilities, including pools, water features, and equipment.

•Monitor and maintain water quality, including chemical balance and sanitation.

•Perform routine inspections of pool equipment and facilities, addressing issues promptly.

•Ensure compliance with health and safety regulations, including CPO requirements.

•Collaborate with other staff members to maintain a clean and safe aquatic environment.

•Assist in planning and executing maintenance schedules and upgrades.

•Primary shifts are Saturdays & Sundays; weekday coverage, as needed, during Director of Maintenance absences.

•Occasionally respond to off-hours for emergencies.

•Perform other duties as assigned.


Physical Requirements

•Ability to lift heavy objects over 50 pounds, with or without accommodations.

•Ability to bend, squat, twist, and reach with or without accommodations.

•Ability to move and set up equipment as needed, with or without accommodations.


Qualifications

•Must be 18 years of age or older.

•Must be able to work independently or with minimal supervision.

•Valid driver’s license with a clean driving record.

•Ability to pass a background check.

•Certified Pool Operator certification is required within six (6) months of hire.
